    SECRETARY

    The PTO secretary attends all PTO meetings and records the minutes of each meeting.  Minutes are emailed to the PTO president in a timely manner for distribution to PTO Board and Chair persons.  With the use of a laptop, the minutes can be recorded real time during the meeting.  Otherwise, it is estimated that an additional 30 minutes is needed to type up minutes after the meeting.

    TREASURER

    The treasurer position supports the PTO with all incoming and outgoing funds.  Responsibilities of the treasurer include:  

    • Attend all PTO Meetings
    • Attend the biannual budget/grant meeting
    • Reconcile the annual budget report
    • Prepare the PTO meeting reports
    • Distribute and reconcile funds as needed

     CLASS VICE PRESIDENTS 

    The Class V.P. is a liaison between the class they represent and the PTO.  There is one VP for each year.  At the beginning of the year the VP's introduce themselves to the class advisor and to establish a means of communication (e-mail) for updates regarding the activities of the class.  The VP checks in with the class president and the class advisor to see how the PTO VP can be of service to the class over the course of the year.  Some classes have lots of ideas for fundraisers and need help getting volunteers.  Other times they need help with ideas and you talk through different possibilities with them.  The VP also helps with the bake sale working with each homeroom list to find a volunteer from each homeroom to call families to bring baked goods for the sale.

    DIRECTORY 

    The Brookfield East PTO directory is a mini-phone book of Brookfield East families who choose to participate.  The directory provides easy access when trying to reach other parents and students as well as having school and staff information.  In spring, freshman orientation is held, at that time a directory form is handed out, filled in, and returned by those who wish to be included.  Over the summer, roughly 300 families (name, phone#'s, parent addresses) need to be keyed in for placement among all the other entries into the directory format.  This book is then printed out as a proof copy and checked by all families at registration.  After changes are made at registration, any updates/corrections need to be updated in the electronic file.  This book must then be taken to the Elmbrook Schools Print Shop for printing.  Books are distributed the evening of Open House.  There is a fairly quick turnaround time needed.  A high level of computer skills is required for this job.

    ELMBROOK EDUCATION FOUNDATION REP

    PTO Representative to the Elmbrook Education Foundation acts as a liaison between the two organizations.  They help promote and generate interest in the EEF along with coordinating donations for and providing help for the two fundraiser events sponsored by EEF.  Besides helping with the fundraising events, the PTO Representative and Committee are asked to cordinate a basket of items for the Spring Fundraiser to be sold during a silent auction on the evening of the event.

    The EEF's mission is to promote educational excellence by providing scholarships and grants to Elmbrook students and schools.  In 2007, 29 high school seniors (from both schools) received scholarships of $1500.  EEF raise money via private donations, business contributions and fundraising events.

    FATHER DAUGHTER BANQUET 

    This is a popular event each year for Brookfield East.  The committe determines a date for event, with help from the school office.  A location, photographer and DJ need to be secured.  In December publicity begins and invitations are sent out with the mid-nines. The committee coordinates the volunteers for the night, as well as working with the location, decorations and making seating chart.  On the night guests need to be checked in for a night of fun.

    GIFT WRAP FUNDRAISER

    The Gift Wrap Chairperson responsibilites include:

    • Meeting with Sally Foster representative to decide on dates.  (This is done in late May early June).
    • Pass out fundraising packets (A BEHS letter is added to each packet and then passed out during registration in August).
    • Collect and process all orders,double checking them to make sure money balances.
    • Take delivery of the product and distribute to all who purchased.  (This is done at parent/teacher conferences).

    MOTHER SON BANQUET 

    The Mother/Son Dinner consists of gathering all classmen from all grades levels to get together for a fun filled night with their friends and their moms.  The idea is to find a location enjoyable for the young men and some small entertainment amongst friends.  This outside school activity gives support knowing all levels can get involved together for a lifetime of memories.

    NEWSLETTER 

    Eight issues of the Spartan Parent Report newsletter are sent home to all Brookfield East families each school year.  The newsletter helps keep families in the loop regarding life at Brookfield East.  The job of the committee chair is to work with the principal and secretary to obtain stories for publication.  After story submission, the articles must then be compiled in a newsletter format by using any number of software programs.  Knowledge of these programs and working with pictures is a must.  The finished piece is then delivered to the printer.  The turn around time for receiving articles and having the final copy designed and to the printer is generally 4 days.

    PARENT LEADERSHIP

    The Elmbrook Parent Leadership Council, is a district-wide organization whose purpose is to promote the exchange of ideas among parents in the Elmbrook School District.  In addition we work to facilitate communication between parents, teachers, administration, the Board of Education and other interested persons.  EPLC also strives to provide leadershp training to volunteers and to encourage volunteering at all levels within our schools.

    Each year the EPLC sponsors the Elmbrook Parent Leadership Fall Forum.  This includes a president's breakfast, the state of the schools address by Dr. GIbson and a speaker.  Offices and respresentatives also participate in a winter luncheon meeting.  We host a "Superintendent's Chat" for Dr. Gibson yearly, and sponsor "school board candidates debates" prior to the elections.  In the spring, we hold a "Spring Brunch" which is attended by PTO officers, EPLC representatives, Dr. Gibson and other administrative members, as well as school board members.  The EPLC is supported by the district PTO's.  Each school PTO pays annual dues of $75.00.  This fee pays for the food, speakers and events that we sponsor.

    PARENT NETWORK

    The mission of Parent Network is to address parent concerns on academic, and social issues by providing parents with tools and resources to assist them in guiding their children as they grow and become good decision makers.  Parent Network sponsors educational and informational presentations, networking events and makes parenting educational materials available to parents.  The PTO representative to the Parent Network acts as coordinator between the organization and the parents at Brookfield East.

    PARENT PRINCIPAL MEETINGS - Volunteer coordinator

    The Parent Principal Meetings are designed to provide an opportunity for parents to address any concerns they may have, in an open format.  Typically, Mr. Bowers introduces himself and gives a brief description of the purpose of the meetings.  These meetings are meant to give parents a place where they can ask questions and to dialogue with Mr. Bowers.  Many parents, especially those new to our school, find it helpful to meet Mr. Bowers and to hear first hand his opinions on issues affecting the parents at BEHS.

    PROJECT GRADUATION 

    This committee is in charge of holding a party type event after the Senior Banquet.  The senior class picks and books the location.  The chairperson is in charge of entertainment, pictures, door prizes and giveaways after the dinner is over.  This committee takes input from the class officers and the senior class PTO VP in deciding what will work best.

    PTO WEBSITE.

    Maintain and update the new PTO website.  This will include, but is not limited too, inputting of PTO agenda, meeting dates and minutes monthly. As well as placing order forms, flyers of upcoming events and any other information on the website.  A knowledge of computers and web-based software is required. 

    SPECIAL EVENTS

    This committee is responsible for refreshments for Open House, Academic Honors Night and Recognition Night.  

    During Open House refreshments are served in the cafeteria throughout the evening.   Refreshments include coffee, apple cider, donut holes.   Responsibilities include, purchasing these items along with paper products and decorations.  This committee takes care of set up and clean up for this event and typically is assisted by members from the Key Club who help seve during the evening.

    Academic Honors Night is held in March in the gym.  The committee is responsible for calling parents of students attending the event to request donations of baked goods to be served after dinner.  We are also responsbile for purchasing paper products, setting up, serving and clean up.

    Recognition Night is held at the Sharon Lynne Wilson Center in May.  We again call the parents of students attending to request baked goods. We are responsible for the purchase of juice, paper products and decorations along with set-up, service and clean-up.
